Facility Manager at Centre for Community Development and Research Network (CCDRN)
Centre for Community Development and Research Network (CCDRN) is a local Non-governmental organization (NGO) in Nigeria with its head office in Kaduna. CCDRN partners with communities, philanthropists, government and donors to provide sustainable community development services in the areas of conflict resolution, peace building, economic empowerment, agriculture, health, education as well as governance. With funding from humanitarian donors for programs to engage in several interventions including but not limited to food assistance, livelihoods, cash transfers and capacity building of humanitarian response actors.
We are recruiting to fill the position below:
Job Title: Facility Manager
Location: Kaduna North, Kaduna
Employment Type: Full-time
Position Summary
- The Head Office Facilities Manager directs and coordinates all aspects of facilities operations, maintenance, security, space planning, and administration for the Kaduna Headquarters.
- This role requires strong leadership, technical expertise in building systems, strategic planning capabilities, robust vendor management skills, and the ability to develop and implement policies and cost-effective solutions for a complex operational environment.
- The role may also involve providing guidance or coordination support to other CCDRN offices.
Key Responsibilities
Strategic Facility Management & Operations:
- Develop and implement long-term strategic plans for HQ facility maintenance, upgrades, and space utilization aligned with organizational goals.
- Oversee the comprehensive preventive and corrective maintenance programs for all HQ building systems (electrical, plumbing, HVAC, generators, elevators, IT infrastructure support systems, etc.).
- Manage the efficient operation of utilities (power, water, internet connectivity), including robust backup systems and contingency planning.
- Direct day-to-day facility operations, ensuring high standards of cleanliness, upkeep, and functionality.
- Conduct regular, thorough facility inspections, identifying and addressing needs proactively.
- Oversee grounds maintenance and landscaping for the HQ premises.
Security & Safety Management:
- Develop, implement, and enforce comprehensive security protocols and emergency response plans specifically for the HQ environment.
- Manage security systems (CCTV, access control, alarms) and oversee security personnel/contractors.
- Conduct regular security risk assessments and implement mitigation measures.
- Ensure compliance with all Occupational Health and Safety (OHS) regulations and standards.
- Lead the HQ Safety Committee and coordinate safety drills and training.
- Manage incident reporting and investigation related to facility safety and security.
Budgeting, Procurement & Vendor Management:
- Develop, manage, and report on the annual facilities budget for the HQ, ensuring cost-effectiveness and value for money.
- Oversee procurement processes for facility-related goods and services, adhering to organizational policies.
- Negotiate, manage, and evaluate contracts with vendors, suppliers, and service providers (maintenance, security, cleaning, catering, etc.).
- Process and track invoices and payments related to facility operations.
- Identify and implement cost-saving initiatives without compromising quality or safety.
Project & Space Management:
- Lead and manage facility-related projects, including major renovations, refurbishments, office reconfigurations, and capital improvements at HQ.
- Oversee space planning, allocation, and management to optimize utilization and accommodate organizational needs.
- Coordinate office moves and setups within the HQ facility.
- Ensure all facility projects comply with relevant building codes, regulations, and internal standards.
Asset & Resource Management:
- Oversee the comprehensive inventory and management system for all HQ physical assets (furniture, fixtures, equipment).
- Develop and manage equipment lifecycle plans, including procurement, maintenance, and disposal strategies.
- Implement and monitor sustainable practices, including energy efficiency measures and waste management programs.
Policy Development & Coordination (Potential):
- Contribute to the development and standardization of facility management policies, procedures, and best practices across CCDRN (potentially including guidance for field offices).
- Liaise with facility points of contact in other CCDRN offices to share information, ensure consistency where appropriate, and support organizational standards.
- Prepare regular reports on HQ facility operations, projects, and performance metrics for senior management.
Qualifications and Skills
Required Qualifications:
- Bachelor’s Degree in Facility Management, Engineering, Construction Management, Business Administration, or a related field.
- Minimum 5-7 years of progressive experience in facilities management, including experience managing larger, complex facilities (corporate HQ, large NGO office, campus environment).
- Proven experience in strategic planning, budget development, and financial oversight for facilities operations.
- Strong technical knowledge of building systems, maintenance practices, and construction management.
- Demonstrated experience in project management, including managing large renovation or construction projects.
- Expertise in vendor negotiation and contract management.
- Proficiency in facility management software, MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent leadership, communication, negotiation, and interpersonal skills.
- Strong organizational and problem-solving abilities.
Preferred Qualifications:
- Master’s degree in a relevant field.
- Professional certification (e.g., CFM, FMP, PMP).
- Experience working in an INGO or large non-profit headquarters environment.
- Experience developing and implementing organizational policies and standards.
- In-depth knowledge of Nigerian building codes, safety regulations, and environmental standards.
- Experience managing security in a complex environment.
Working Conditions
- Primarily based at the CCDRN HQ office in Kaduna.
- Standard office hours, but requires flexibility for emergencies, project deadlines, and occasional after-hours/weekend work.
- Involves both office-based administrative work and hands-on facility inspections/oversight.
- May require occasional travel to other CCDRN sites for coordination or project oversight.
- Interaction with senior leadership, staff at all levels, contractors, and external stakeholders.
